2004 RENTAL RESERVATION POLICY
Please read the following reservation requirements carefully. Mexico Beach Harmon Realty, Inc. will
work hard to make your vacation enjoyable, and to earn your repeat patronage. The following rules were made with your safety,
enjoyment and the function of the house you will enjoy in mind. Our staff is eager to serve you to insure your Mexico Beach
vacation is a pleasurable one!
RESERVATIONS AND CONFIRMATIONS
Reservations are taken on a first come, first serve basis. Tentative reservations are taken by phone or in person at our
office. ALL reservations are subject to a $30.00 NON-REFUNDABLE reservation processing fee. To confirm your reservation, a
pre-payment of 50 % of the total rent due must be received within 7 days. Confirmation may be obtained at the time of reservation
by credit card (Master Card or Visa), or upon our receipt of the payment within 7 days. IF PAYMENT IS NOT RECEIVED WITHIN
7 DAYS, RESERVATION WILL BE CANCELLED WITHOUT NOTICE. Upon receipt of your payment, a Rental Agreement and Confirmation
will be sent to you. Please read, you are agreeing to all conditions and policies, and any exception to the conditions
and policies must be approved by Mexico Beach Harmon Realty, Inc. Interest, if any, will accrue to Mexico Beach Harmon Realty,
Inc.
BALANCE DUE/PAYMENT
The balance of your total rent due, including taxes and your Security/Damage Deposit and any other fees that may be applicable,
is due 30 days before arrival. If booking within 30 days of arrival, the total rent including taxes, and your Security/Damage
Deposit and any other applicable fees, are due at the time of booking to confirm your reservation. Balance due may be paid
by CASH, TRAVELERS'S CHECKS, CASHIER CHECKS, MONEY ORDERS, MASTER CARD OR VISA. Personal checks are only accepted for
reservation deposits made at least 30 days in advance. We do not accept multiple payments. Please make arrangements
to give us one payment. Credit cards will not be accepted for monthly rentals. Guest is required to sign rental
agreement.
TRIP CANCELLATION INSURANCE
CSA Trip Cancellation Insurance will be automatically added to your Advance Rent Request. You can decline it by initialing
where indicated on your Rental Agreement and returning it with your Advanced payment. A pamphlet describing the coverage will
be mailed with your Rental Agreement. This plan is optional but we strongly recommend it. In case of any unforeseen events,
this insurance helps protect your vacation investment. IF YOU CHOOSE NOT TO PURCHASE THIS COVERAGE, NO REFUNDS WILL BE
GIVEN. In the event that a tropical storm becomes a named hurricane, CSA will not allow you to purchase the Trip Cancellation
Insurance.
CANCELLATION POLICY
A cancellation fee of $75.00 will be charged if you cancel your reservation. Telephone the office as soon as possible in
the event you must cancel, change dates, or switch properties. Please note that we can not refund your advanced rental
payment unless the property is re-rented for the same time period. Once your reservation is confirmed, any cancellations,
date or property changes will be subject to our cancellation policies. If the property re-rents, we will refund your advanced
rental payment upon confirmation by the new tenant, minus trip insurance fees, if applicable and the $75.00 cancellation fee.
Transfer of reservations, whether to the same property at a different date or to a different rental property, will be treated
as a cancellation. Sorry ? no refunds for early departure.
SECURITY/DAMAGE DEPOSIT
A $300.00 Security/Damage Deposit is required on all units 30 days before arrival. We will accept a valid credit
card for the deposit, the card will not be charge unless the unit/property is damaged during your stay. The person registering
for the unit has full responsibility for all damages in the unit and for all damages to the property caused by anyone in the
unit during your stay, due to misuse, negligence or missing items. This responsibility may exceed the amount of the Security/Damage
Deposit. Guest here by authorizes Mexico Beach Harmon Realty, Inc. to debit his/her credit card account for reasonable replacement
or repair costs of missing or damage items. All rental units are inventoried and inspected before and after each occupancy.
We will refund Security/Damage Deposit within 30 days after check-out, less any charges for cleaning or damages. A minimum
$40.00 cleaning charge will be held if unit is not clean upon departure. MONTHLY rentals all require a $300.00 Security/Damage
Deposit. Monthly Deposits will be returned after all utility bills are received, approximately 30-45 days.
CHECK-IN
CHECK-IN TIME is AFTER 3:00 PM CDT. Early arrivals will be asked to wait. Please note this is
not guaranteed. Because of our efforts to assure the units are clean and inspected all properties may not be ready at 3:00
CDT especially during peak seasons. Your patience during these instances will be appreciated. Please register at our office
located at 1402 Hwy 98, to receive keys.
LATE ARRIVALS
If you will be arriving after office hours, please contact the office in advance to make arrangements to pick-up keys.
CHECK-OUT
Our check-out time is 10AM CDT on your departure date, and is STRICTLY ENFORCED. All keys must be returned
to our office and all persons and vehicles must vacate the premises. Please follow the check-out instructions posted on the
refrigerator in each unit to avoid a deduction from your damage deposit. LATE CHECK-OUT may be available if your unit
is not rented on your departure date. There is a $75.00 charge for late check-out and you must vacate and turn in keys to
the office by 5:00 PM CDT. Late check-out must be approved by the rental office the prior day.
RENTAL PERIOD
Most rental units require a minimum advance reservation of seven (7) days between March 1 and Labor Day, as well as Holiday
times. Some units are available for a three (3) night minimum during these times, and shorter reservations may be made for
any unreserved units one week in advance. Weekly reservations run Friday to Friday or Saturday to Saturday unless otherwise
specified. Reservations are accepted up to one year in advance. Reservations made during the previous year are subject
to rate increase or change in availability.
RATES/SEASONS
Spring/Summer Rates - Effective March 1, 2004 through September 6, 2004
Fall/Winter Rates - Effective September 6, 2004 through March 1, 2005
All properties will be rented on a WEEKLY BASIS only, during the following Holiday Periods; Easter
& Spring Break; Summer rates apply, Thanksgiving, Christmas and New Years; Summer rates apply. Any exceptions are noted
within the individual house description. Reservations for less than a week will be accepted at the last minute if property
has not been previously rented for a week.
FURNISHINGS AND APPLIANCES
All of our properties are individually owned and are equipped and furnished according to the owners preferences. Rates,
descriptions, bed sizes, inventories and furnishings are subject to change without notice. Refrigerators, stoves, microwaves,
central heat and air, and washer/dryer are in all units unless stated otherwise in the unit description. ALL units
are NON-SMOKING, NO PETS unless stated otherwise in the unit description. PLEASE DO NOT MOVE FURNISHINGS OR KITCHEN
ITEMS TO ANOTHER UNIT OR TO THE BEACH.!!! Bed sizes are listed in the property descriptions in the rental guide and web
site. Sleeper sofas are not recommended for adult use and no refund will be given due to the discomfort of these beds. You
should bring your own beach items such as chairs, toys, towels etc. If you rearrange the furniture and do not put it back
to the original position you will be charged. Rental agent or owner will not be responsible for providing any additional furnishings
or appliances not already in the units. NOTE: THE UNITS DO NOT INCLUDE LINENS (sheets, bath & kitchen towels, etc)
Blankets, bedspreads and pillows are provided. PLEASE BRING YOUR LINENS, PAPER GOODS, BATH SUPPLIES, KITCHEN AND
LAUNDRY SOAPS.
MAXIMUM OCCUPANCY
Each of our units have specified the maximum number of persons allowed, excluding infants. Please confirm the number in
your group, as exceeding the maximum allowed will result in forfeiture of rent and/or security/damage deposit and eviction.
ABSOLUTELY NO HOUSE PARTIES ALLOWED!!! Use for occasions such as weddings, receptions, "parties" which increase the stated
occupancy (even for a few hours) must be requested in writing and approved by Mexico Beach Harmon Realty, Inc. prior to occupancy.
If Mexico Beach Harmon Realty, Inc. approves the event, guest may be required to pay additional fee or deposit. Failure to
fully disclose (or misrepresentation of) such occasions is cause for immediate cancellation of the reservation with forfeiture
of all funds and guest?s vacating the premises. We cater to family groups and cannot accept reservations for vacationing students.
We do not rent to teenagers with or without chaperones. Singles under age 25 unaccompanied by a parent will not be permitted
to register and will be subject to forfeiture of deposit. Any reservation obtained under false pretense will be subject to
forfeiture of deposit and not permitted to register. Mexico Beach Harmon Realty, Inc. reserves the right to deny occupancy,
evict and refuse refund at any time to anyone who appears to be detrimental to the property.
CLEANING
All units should be left in a clean condition. A minimum $40.00 charge will be held from the Security/Damage Deposit if
unit is not cleaned upon departure, i.e., dishes washed and put away, garbage disposed of properly in out door containers,
all food removed from unit, beds made and furniture in original position .
HOUSE KEEPING AND MAINTENANCE
Every effort is made to have your rental property clean and all equipment in good working order. Even the newest or best
maintained equipment occasionally malfunctions. Upon arrival, if you find any housekeeping or maintenance problems please
report them to the office as soon as possible. If you are a late arrival, please notify us of any problems you may have by
10:00 am the next morning. If we have not heard from you by this time, we will assume that you found your property in
acceptable condition.
HURRICANE EVACUATION
If a "Mandatory Evacuation" order is issued for the area that your unit is in, we will only charge for the nights you occupied
the unit. If you choose to leave in a "Voluntary Evacuation" no refunds will be given. No refunds are given for early departures
or due to inclement weather.
TELEPHONES
Telephones are provided with a long distance block. All long distance charges must be charged to a calling card, collect,
or third party. There is no charge for local phone calls (Mexico Beach, St Joe Beach, Port St. Joe). Extended service phone
calls are 25 cents per call (Panama City, Tyndall AFB, Wewahitchka, and other neighboring cities). If extended service phone
calls are not paid for prior to departure a $10.00 administrative fee will be charged in addition to the toll charges
PETS
Pets are not allowed in or on any property that is not pet friendly. If a pet is discovered after check-in, occupancy will
be terminated with no refund. After check-out, if evidence that a pet has been in the unit, the total damage deposit will
be forfeited.
RIGHT TO CHANGE RENTAL ASSIGNMENT
Properties are occasionally removed from our rental program on short notice due to change in ownership or other changes
made by the owner. Should this occur to a confirmed reservation Mexico Beach Harmon Realty, Inc. reserves the right to assign
to the guest a different rental unit than the one confirmed. In such a case: Mexico Beach Harmon Realty would, if time
allows, contact guest immediately to notify him/her of the change, and offer the choice of, either a cancellation with no
penalty, or taking a replacement unit without further recourse (replacement is not necessarily identical or equivalent) Mexico
Beach Harmon Realty, Inc. would use due diligence, in all cases, to accommodate or assist renter. However, Mexico Beach Harmon
Realty, Inc. liability is limited to the full refund of deposits and the waiving of the cancellation penalty. Guest hereby
waives any claim against Mexico Beach Harmon Realty, Inc. for specific performance and any damages, including but not limited
to, special or consequential damages, resulting from transfer or cancellation by Mexico Beach Harmon Realty, Inc.
RENTAL UNITS FOR SALE
In the event a rental unit is placed on the market for sale, we reserve the right to show the property by appointment.
We will make every effort to schedule the showing at the guests convenience.
PERSONAL PROPERTY
Mexico Beach Harmon Realty, Inc. will not be responsible for the loss or damage of and personal items left in a property.
Every effort will be made to return any items left, but we assume no responsibility for them. If items are found, we will
be happy to return them, postage prepaid if we have a valid credit card number on file. The cost of shipping plus a $15.00
wrapping and handling charge will be debited from your credit card account.
KEYS
Keys are to be picked up at our office and returned there upon departure. There will be a $10.00 charge for lost keys.
There will be a minimum $40.00 charge for lock-out service AFTER OFFICE HOURS.
OFFICE HOURS
8:30 am to 5:00 pm CDT - Monday to Saturday year round. Closed Sunday.
MANAGEMENT
All properties are individually OWNED and are managed by Mexico Beach Harmon Realty, Inc. We serve as the agent and representative
of all property owners and act at all times, in the best interest of the owner. We reserve the right to refund deposits, refuse
rentals or discontinue occupancy, if in our opinion, renter is detrimental to the property. Any reservation obtained under
false pretense will be subject to forfeiture. Authorized employees may enter the premises for any purpose to manage the rental.
We will not be responsible for accidents or injury to guests or for loss of money or valuables of any kind. Every effort has
been made to assure that our information and descriptions are accurate; Mexico Beach Harmon Realty, Inc. can not be held responsible
for changes made by the owners in furnishings and amenities, printing errors or errors on the web site. Rates, descriptions,
and availability are subject to change without notice.
DISCLOSURES
Every effort has been made to assure the accuracy in our brochure and any of our printed material, including our web site;
however, we are not responsible for errors or omissions. Rental data is subject to change without notice. Rental terms and
conditions are subject to change. The information pertaining to each rental unit was correct at press time. Mexico Beach Harmon
Realty, Inc. is not responsible for any changes made by the owners which make the description incorrect, nor can we be responsible
for printing errors or verbal information given which, does not agree with the printed material.
